• Name and email address when you purchase SmartFlo Pro via our payment processor
• Email address when you subscribe to our mailing list via Kit
• Name, email address and message content when you submit a support ticket or contact form
• Feedback and feature requests submitted via Tally forms in your SmartFlo Pro Hub

Information collected automatically:

• Anonymous website usage data via Google Analytics — including pages visited, time on site, device type and approximate geographic region
• Standard server logs including IP address, browser type and referring URL

We do not collect payment card details. All payment processing is handled by our payment processor who acts as Merchant of Record for all SmartFlo Pro purchases.

3. How We Use Your Information

We use the information we collect to:

• Deliver your purchase and provide access to SmartFlo Pro and your SmartFlo Pro Hub
• Send transactional emails related to your purchase — including your access link, receipts and product updates
• Send marketing emails if you have subscribed to our mailing list. You may unsubscribe at any time via the link in any email
• Respond to support tickets and customer enquiries
• Analyse anonymous website traffic to improve our website and marketing
• Comply with our legal obligations

We do not use your personal information for automated decision-making or profiling.

4. Data Security and Your Google Sheet

SmartFlo Pro operates entirely within your own Google account. When you make a copy of SmartFlo Pro to your Google Drive:

• Your copy of the file is stored in your Google Drive under your Google account
• All financial data you enter — clients, invoices, payments, expenses — is stored only in your Google Drive
• SmartFlo Edge has no access to your copy of the file or any data you enter into it
• The automation scripts run within your Google account using your own Google Apps Script authorisation

The security of your financial data is governed by Google's security practices and your own Google account security settings. We strongly recommend enabling two-factor authentication on your Google account.

For personal information collected through our website and forms — we take reasonable technical and organisational measures to protect it from unauthorised access, disclosure or loss.

5. Sharing Your Information

We do not sell your personal information. We share your information only with the third-party service providers necessary to operate our business:

• Kit (formerly ConvertKit) — email marketing platform. Stores your email address if you subscribe to our mailing list.
• Google Analytics — anonymous website analytics. Receives anonymised usage data about visits to thesmartflo.com.
• Tally — form platform for support tickets and feedback forms in your SmartFlo Pro Hub. Receives information you submit via those forms.
• Netlify — website hosting. Processes standard server logs for thesmartflo.com.

Each of these providers has their own privacy policies governing how they handle your data. We encourage you to review their policies.

We may also disclose your information if required by law, court order or governmental authority, or to protect the rights, property or safety of SmartFlo Edge, our customers or others.

6. Cookies and Tracking Technologies

Our website uses the following tracking technologies:

• Google Analytics cookies — to collect anonymous data about website usage and visitor behaviour. This data does not personally identify you.
• Essential cookies — required for the website to function properly. These cannot be disabled.

You can control cookies through your browser settings. Disabling Google Analytics cookies will not affect your ability to use or purchase SmartFlo Pro. You may also opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

7. Data Retention

SmartFlo Edge is based in Ontario, Canada. If you are accessing our services from outside Canada — including from the United Arab Emirates, Malaysia, the United States, the United Kingdom, Australia or other countries — your personal information may be transferred to and processed in Canada, where data protection laws may differ from those in your jurisdiction.

By using our services, you consent to the transfer of your information to Canada as described in this policy. We takeke reasonable steps to ensure that your data is handled securely regardless of where it is processed.

Our third-party service providers — including our payment processor, Kit and Google — may also process your data in jurisdictions outside Canada. Each provider is responsible for ensuring appropriate data transfer mechanisms are in place.
